  • Overview

    The Administrative Assistant is the right-hand support for our Executives using solid project management, communication, and organizational skills to drive success of the team and the business. Responsible for day-to-day executive support to the C-suite and Board members with an emphasis on proactive planning and follow-through of all initiatives. 

    • Directly supports the C-suite, Board, and other members of the Executive Leadership Team as assigned
    • Take ownership of meeting notes, to-do lists, executive assignments and follow-ups
    • Manages all calendar, travel arrangements, business contacts, expense reports, and written materials for the Executive team & Board of Directors
    • Plans, coordinates and ensures the C-suite’s schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the C-suite's time and office.
    • Works closely and effectively with the C-suite to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated.
    • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
    • Successfully completes critical aspects of deliverables with a hands-on approach to facilitate the C-suite’s ability to effectively lead the company
    • Serves as the C-suite’s administrative liaison to Board members
    • Assist Board members with travel arrangements, lodging, and event planning as needed
    • Utilize Microsoft Office and multiple communication styles/approaches in order to report and communicate with the Executive Leadership Team

    The successful Administrative Assistant will proactively manage the needs of the C-suite, ELT and Board members. When feasible, the colleague should fulfill requests and anticipate needs that enable the C-Suite and Board members to better perform their responsibilities.  As a valued colleague and leader within the organization, the Administrative Assistant should provide an Unexpected Experience to all colleagues, partners, and clients of Kinney Group.

    Desired Skills & Experience

    • 3+ years of prior administrative support experience; Executive support experience preferred
    • Associate’s degree or equivalent combination of education and experience
    • Ability to maintain high levels of confidentiality in all matters is crucial in this role
    • Motivated, self-starter with the ability to work in a fast-paced environment with minimal supervision
    • Excellent interpersonal and customer service skills to develop and maintain work relationships and communicate effectively through multiple channels
    • Sense of humor and ability to manage in a changing environment is paramount to success
    • Expertise in identifying issues, taking initiative, and proactively resolving problems which may impact the business and the team
    • Ability to function independently as well as to work collaboratively with and through others at varying levels
    • Resourceful and organized
    • Ability to put in long hours to meet the demands of the ELT
